Operations Tasks

MONTHLY

  • Recruit/Register apprentices. This is an ongoing process. Apprentices can begin at any time throughout the year.

  • Track OJT and RSI hours for each apprentice using the forms provided in the Forms and Publications section below.

QUARTERLY

  • Report OJT/RSI hours to Labor & Industry using the ARTS system. The ARTS 2.0 Startup Guide provides detailed instructions on how to use the ARTS system. Additional support is available by contacting the JATC or the L&I Apprenticeship Consultant for the program.

  • Connect with your apprentices to offer encouragement and resources.

  • Submit Change of Status forms to the JATC for approval. This form is available in the Forms and Publications section below.

 
 

Forms and publications

This section includes information on the forms that training agents for an apprenticeship program will need in order to track and report on their program.

The Program Minimum Qualifications document outlines the minimum requirements to register as an apprentice in that program along with detailed information on the training that must be completed to become a journeyperson in the field.

The RSI Status Report is used much like a report card. The employer enters information on this form to track the completion of RSI hours/credits.

OJT Evaluation & Scoring Rubric are tools to evaluate the OJT progress of an apprentice. These forms are filled out by the teacher or administrator that an apprentice works most frequently with.

Authorized Training Agent Form

This form is considered the starting point for a school district/employer to participate in the apprenticeship program. Submit this form to the JATC to begin offering apprenticeship opportunities to the classified staff members in your school district.


RSI Status Review Form
This communication tool is used to confirm that all RSI credits have been accounted for and to update an apprentice on courses that remain to be completed.

 

Apprenticeship Agreement Form

This form is used to register an apprentice. It is important to fill it out completely and retain it in the employees apprenticeship file. The information on this form will be used to register the apprentice with L&I using the ARTS tracking system.


Request for Change of Status Form
This form is used to communicate changes in the status of an apprentice. Your apprenticeship coordinator will report step increases, suspensions, completions and other various changes that effect an apprentice’s status. These forms are submitted to the JATC quarterly for approval. Once changes have been approved your apprenticeship coordinator will enter them into ARTS.

 

Apprenticeship Work Progress Record Form
The apprentice fills this out each month and submits it to the appointed apprenticeship coordinator at your school district.

It is important to consider bargaining language that addresses a school district’s participation in the apprenticeship program. Here are some key areas you may want to include:

  • A statement in your bargaining agreement that acknowledges the school district’s participation in the apprenticeship program

  • Negotiating any additional compensation for completion of the apprenticeship program

  • Addressing options for reimbursement of tuition/fees/books
